A confident, competent workforce, ready for go-live, maximising the return on investment.
Time for your project team to focus its attention elsewhere during the busy pre-go-live period.
With this team working on securing core grants from trusts, foundations, lottery, etc. and managing these, the training should focus on their typical day-to-day activities when using their ERP solution. This means delivering training around one or two case studies to make the training relevant.
These audiences should receive instructor-led training and for any fundraisers who are predominantly working away from the office, a light-touch session on how to use their remote tools could be introduced.
There are distinct audiences in this workstream. The estate/asset manager will need to be able to assign work to on-site engineers as well as report on jobs, and schedule preventative maintenance activities. As these will be core users of the system, typically classroom training is recommended.
The engineer picking up jobs will require shorter training sessions in the use of their handheld device as well as updating jobs.
Working closely with the Contracts and Grants teams, this team will procure goods/services against projects or for indirect expenditure. This team must be proficient in raising requisitions and the authorisation process. Training for this group can be blended and include eLearning, quick card cheat sheets and for
power users (super users) a classroom session addressing not only the general functionality and processes but typical troubleshooting scenarios which end users may encounter when they first start using the new ERP solution.
Dealing with day-to-day operations, the administration department, must be competent in the use of their ERP solution. They typically provide administrative and logistical support to the rest of the organisation with various duties.
Training this audience at the right time is critical to ensure they are ready at go live and are able to support the rest of the organisation.
Timing for the training of finance users is paramount and cannot disrupt their end of month/quarter commitments. Your training programme should train on a build which will be familiar to the audience when they go live, introducing walkthroughs using your COA, approval hierarchy and data.
Classroom training is popular with these audiences, however, if the audiences are overseas, modular delivery across WebEx/Skype can be delivered in shorter durations.
HR works closely with the departmental administrators as well as recruitment. Their core system users are normally the HR administrators who will require hands-on training so they are competent for go live.
Users such as HR business partners and line manager approvers will not require classroom training but a short session on the core benefits, their role in the process and the functionality they are required to use.
We design bespoke training programmes which meet the diverse needs of the different user groups. This means having a variety of supporting materials and delivery methods which engage end users with timely, relevant content so they retain the information.
“Certainly I’m very satisfied with the result of the user training and the quality of the documentation. Going forward it’s going to be very valuable to have proper, structured, repeatable training to use as a refresher and for new staff.”

“Optimum are a pleasure to work with. They’re approachable, flexible and responsive. They communicate very openly and in my experience they always have the client’s long term interests at heart.”
Richard Blundell Global IT programme director
“Selecting Optimum to develop the eLearning training programme took away the strain on internal resources that would have been required for a system change of this size and we were also able to benefit from Optimum’s experience. We would certainly use the same approach for similar projects in the future.”
